Monitoring and routing of incoming mail

Important letters — price lists, changed terms, urgent requests — got lost in the flow, and staff sorted mailboxes by hand. We set up automatic mail monitoring.

The problem

The company receives a large volume of mail from suppliers and partners every day. Important messages — price lists, changed terms, urgent requests — got lost in the flow, and staff sorted the mailboxes by hand.

Solution

What we did
and why we did it that way.

01

Mailbox monitoring

The system watches several corporate mailboxes in real time at once.

02

Selection by criteria

It recognises important letters by set rules: message type, sender, key terms.

03

Delivery to Telegram

The right letter goes to the work chat instantly. Staff stop watching the inbox by hand.

04

Running in the background

It all runs on a server without a human. The logic extends to new letter types and senders.
